Weddings have an aura of fairy tales but, unlike fairy tales, weddings do not just happen - they have to be planned. A celebrity co-ordinator to the stars has likened organising a wedding to producing a small movie.

As most of us only undertake this venture once, we are not automatically equipped with the skills to plan and structure a complex event such as a wedding.

Gail Hibbert-Hempel has been involved with events organisation and functions management for over twenty years.

Gail
For eight years she organised audiences and recruited individuals to participate in programme segments and commercials for Television New Zealand.

For eleven years she worked at and managed one of Wellington's most popular functions venues. During this time, Gail organised approximately twelve hundred functions and dignitary events including around 1000 weddings.

Gail now operates as an independent Functions Consultant and specialises in the organisation of weddings. Among the events she has organised is the wedding of international media personality Alison Bell. Gail was also responsible for the launching and promotion of an historic facility in Island Bay, Wellington, as a weddings venue.

Gail has an extensive knowledge of both ecclesiastical protocols for religious services plus etiquette and procedures for non-religious ceremonies. She has been involved with many weddings of diverse ethnicity and has an understanding of the cultural traditions and protocols for these events.

Gail networks with a group of wedding service professionals which enables her to advise on and source the most suitable and economic services within a desired budget. Her experience in the field has enabled her to plan unique weddings for individual couples in accordance with personal choices.

Gail is also a feature writer and contributes a regular weddings column to a Wellington newspaper.

Using a Wedding Consultant

Gail with Nicola & Alan
Wedding Consultancy is a service used by couples who do not have the time or knowledge to undertake the major and often stressful challenge of organising their weddings. The variety of choices for wedding styles, products and services is constantly expanding, thus the task of arranging these events is becoming more complex.

Organising a wedding is very time consuming. As most couples and their families work, they can find it more convenient to engage a consultant to help plan the event. A neutral party can also smooth the way and help to alleviate the stresses and inter-family conflicts that often arise.

Wedding Consultants should not take over control of the wedding but work in accordance with the client's requirements, providing whatever assistance is needed. A consultant's role is to make suggestions, recommendations, and keep things flowing and on track.

Gail Hibbert-Hempel is able to provide a variety of services to assist with organising your wedding. If you require help with vetting and supplying choices for available products and services, a Wedding Plan is the obvious place to start. You may require ongoing co-ordination and advice, the provision of Wedding Day Service or co-ordination of the entire event. Gail also has considerable experience in working with out of town and overseas clients.

Wedding Plan

Gail with Sophia & Brice
When embarking on a wedding most people have no idea of how and where to begin. There are essential factors to consider before undertaking the often arduous task of collating and arranging the various components to ensure that a successful and enjoyable event results.

Gail Hibbert-Hempel offers an advisory, planning and referral service tailored to meet individual needs and budgets, including consultation with clients, a check list of all the envisaged wedding requirements, prices and recommended wedding service providers.

The planning service enables couples to by-pass the frustrating and time consuming exercise of researching and vetting the numerous array of available services.

A comprehensive Wedding Plan eliminates the possibility of overlooking important details. It will identify the forward booking requirements to avoid disappointment if preferred suppliers are already booked.

Careful planning can save you time and money. Seeking professional advice and guidance will enable you to organise your wedding with the confidence necessary to ensure the success of this most significant and memorable occasion.

A Wedding Plan contains a table of contents, two to three choices in each chosen product and service category, a planning timetable, a profile of each supplier including all relevant details and costings. The Plan is a bound document and enables couples to prepare a wedding budget. The costings contained in the Wedding Plan are as given by the individual suppliers and do not include consultant's commissions or any hidden mark-ups.

Ongoing Co-ordination and Advice

Shannon & Jay
Once the initial planning has been completed, working to a timetable is vital. Ongoing co-ordination can assist clients with advice on music, etiquette, speeches and toast lists. It can also encompass a myriad of tasks including bookings, reminders, communication and liaison with suppliers, sorting out glitches, managing changes, fine tuning, moral support, hands-on assistance, and a whole host of other things that happen along the way.

Weddings are emotionally driven and it is easy for those involved to lose sight of the important issues. Gail Hibbert-Hempel can help clients to ensure that nothing is overlooked. Without proper guidance, organising a wedding can test the best of temperaments and we all value experienced help and assurance when we venture into the unknown.

Out of Town and Overseas

Gail with Jean & Dennis
Couples residing out of town or overseas who are being married in Wellington often find the assistance of a Wedding Consultant invaluable. It can be difficult, frustrating and expensive to organise a wedding from afar. Choices are often stabs-in-the-dark, and communication with suppliers can be unsatisfactory if they are not accustomed to dealing with clients outside of the local market. Organising a wedding by remote control carries a huge element of risk and uncertainty.

Gail Hibbert-Hempel is well acquainted with local suppliers and trends, and is able to assist clients with the selection of products and services best suited to their tastes and budgets.

Wedding Day Service

Gail with celebrity bride, Alison
As the Wedding Day approaches it is usual for minor hiccups to occur which can be perceived as monumental crises.

The week of the wedding should be a time of anticipation and excitement, but can be overshadowed by the inevitable glitches that create anxiety.

It is beneficial for families to have an independent professional available to give advice and reassurance, and to take care of any last minute details or problems that may arise. This will leave families free to prepare for the Wedding Day with peace of mind.

On the Wedding Day a consultant's role is to ensure that all participating parties work together in harmony. Again, the consultant fulfills any role that client's request. This can be anything from simple tasks to overseeing all aspects of the event and ensuring that everything proceeds to plan.
